Disruption to our Services in August/September
WE ARE CHANGING OUR ENTIRE COMPUTER SYSTEM THE WEEKS OF 23RD AUGUST & 3RD SEPTEMBER.
WE WILL BE OPEN BUT WE WILL BE RUNNING A LIMITED SERVICE
WHY?
THE SYSTEM THE PRACTICE CURRENTLY USES (GPASS) IS BEING DECOMISSIONED. ALL PRACTICES IN FIFE ARE CHANGING SYSTEMS OVER THE NEXT YEAR. WE HAVE BEEN GIVEN A DATE OF 23RD AUGUST TO BEGIN MIGRATION OF ALL OUR PATIENT DATA TO A NEW GP SOFTWARE SYSTEM CALLED EMIS. THIS IS A WELL TRIED AND TESTED SOFTWARE THAT IS USED IN THE VAST MAJORITY OF PRACTICES IN ENGLAND, AND NOW A LARGE PROPORTION OF GP PRACTICES IN SCOTLAND. IT IS BOUND TO CAUSE SOME DISRUPTION TO OUR NORMAL SERVICE FOR A PERIOD OF APPROXIMATELY 2 WEEKS AROUND THE MIGRATION DATE.
THE MIGRATION FROM ONE SYSTEM TO ANOTHER WILL TAKE AN AWFUL LOT OF WORK AND PLANNNING PRIOR TO THE EVENT. DURING THE MIGRATION PROCESS WE HAVE LIMITED ACCESS TO PATIENTS ELECTRONIC RECORDS.
HOW DOES THIS EFFECT THE PRACTICE?
- FOR A SHORT PERIOD WE WILL NOT BE ABLE TO ACCESS THE COMPUTERISED APPOINTMENT SYSTEM
- UNTIL THE NEW SYSTEM IS IN PLACE, WE WILL NOT BE ABLE TO MAKE FORWARD DATED APPOINTMENTS
- FOR A SHORT PERIOD THE DOCTORS WILL BE ABLE TO READ THE PATIENTS RECORDS ON THE COMPUTER IN THEIR CONSULTING ROOM, BUT ANY ENTIRES MADE WILL NOT BE TRANSFERRED OVER TO THE NEW SYSTEM
- FOR AN EVEN SHORTER PERIOD WE WILL NOT BE ABLE TO READ THE PATIENTS RECORDS AT ALL, EXCEPT ON A “STAND ALONE” COMPUTER IN THE BACK OFFICE
- FOR A SHORT PERIOD WE WILL; BE UNABLE TO GENERATE REPEAT PRESCRIPTIONS FROM THE COMPUTER SYSTEM, ,AND ANY REQUIRED DURING THE TIME OF MIGRATION WILL NEED TO BE HAND WRITTEN
HOW WILL THIS AFFECT THE PATIENTS? WHILST EVERY EFFORT WILL BE MADE TO MINIMISE DISRUPTION TO THE SERVICE, SOME IS INEVITABLE.
- FOR A SHORT PERIOD WE WILL NOT BE ABLE TO GENERATE REPEAT PRSECRIPTIONS EASILY, AND FO RTHIS REASON WE WOULD ASK THAT PATIENTS MAKE SURE THEY ARE WELL SUPPLIED WITH THEIR MEDICATION TO ENCOMPASS THE PERIOD OF DISRUPTIVE SERVICE
- FOR A SHORT PERIOD WE WILL NOT BE OFFERING ROUTINE OR FOLLOW UP APPOINTMENTS AS ANY INFORMATION OR DATA GATHERED WILL BE DIFFICULT TO TRANSFER TO THE NEW SYSTME. WE WILL ATTEMPT TO KEEP THIS TIMEFRAME TO A MINIMUM
- WE WILL CONTINUE TO OFFER A FULL EMERGENCY SERVICE AND ALSO AN URGENT SERVICE FOR THE USUAL NEW AILMENTS AND EXACERBATIONS OF EXISTINNG CONDITIONS THAT CANNOT WAIT.
WE WOULD LIKE TO REASSURE YOU THAT WHILST WE HAVE LIMITED ACCESS TO YOUR HEALTH RECORDS DURING THIS PERIOD, ALL PATIENT RECORDS ARE FULLY BACKED UP AND TOTALLY SECURE.
THE NEW SYSTEM IS FAR SUPERIOR TO THE ONE WE ARE RUNNING AT PRESENT AND WE ARE CONFIDENT THAT THIS NEW SYSTEM WILL BENEFIT BOTH OUR PATIENTS AND THE PRACTICE.
WE WOULD LIKE TO TAKE THIS OPPORTUNITY TO APOLOGISE FOR ANY INCONVENIENCE THAT THIS MAY CAUSE, BUT WOULD ASK THAT YOU ALSO KEEP IN MIND THE MAJOR DISRUPTION THAT THESE CHANGES CAUSE ARE STAFF.
